Property Management (Rentals)

Overview

The Property Management module turns the system into a tool for managing rented (let) properties on behalf of their owners. It handles leases, recurring rent, maintenance, inspections, and the money you owe back to each owner. Everything is reached from the Property management menu in the sidebar.


Managed Properties

A property is part of the rental module only when it is marked as Managed. Open a property, enable the Managed property option, and make sure it has an owner contact assigned (the person the agency collects rent for). Only managed properties can have leases.

Leases

A lease links a managed property to a tenant (the lessee) for a period of time at an agreed rent.

To add a lease, go to Property management -> Add new lease. You select the managed property and the tenant contact, then enter the lease terms: start and end dates, rent amount and frequency, the security deposit, and the agency commission (the cut the agency keeps from each rent payment). You can also list extra occupants the tenant is responsible for (family members, flatmates, employees) and attach lease documents.

{primary.fa-info-circle} A lease requires a property that has a real owner contact and an agency commission set. Once rent has been recorded against a lease, the money-related fields lock to protect the accounting.

All leases are listed under Property management -> All leases, where you can preview, edit, or end a lease.


Rent and Invoices

The system generates rent invoices for each active lease on its schedule. For every invoice you can record the payment, mark it paid, partially paid, or overdue. Each rent payment automatically splits into the owner's share and the agency commission, so owner balances stay correct without manual maths.

The deposit has its own lifecycle — held during the lease and settled (returned or partly withheld) when the lease ends.


Maintenance Tickets

Open Property management -> Maintenance tickets to track repair and maintenance work on managed properties. A ticket records the issue from when it is reported through to when it is completed, and can be linked to a property and a lease. Costs recorded against a ticket can be charged to the owner and appear on the owner statement.


Inspections

Open Property management -> Inspections to schedule and record property inspections (move-in, move-out, periodic). You can attach photos and documents to each inspection so there is a clear record of the property's condition over time.


Owner Balances and Statements

For each owner, the system keeps a ledger of everything that affects what the agency owes them: rent collected, agency commission deducted, maintenance costs, and payouts made to the owner.

  • Property management -> Owner balances shows the current balance for every owner at a glance.
  • Property management -> Owner statements generates a PDF statement for an owner over a chosen period, itemising income and costs and the resulting payout.

Messages to Tenants and Owners

The module includes predefined messages (for example rent reminders, receipts, or notices) that you can send to tenants and owners, with one-click WhatsApp buttons where a contact's WhatsApp number is known. This keeps routine rental communication fast and consistent.
